Privacy Policy

Overview

Here Boss is a time-tracking, timesheet, approval, and reporting service provided by James Capital LLC. This Privacy Policy applies to the Here Boss web application and its iOS and Android apps.

Here Boss is designed for company workspaces. When an organization provides you access, that organization may control the work records in its workspace and may establish additional policies for how those records are used and retained. Questions about an employer's or organization's practices should be directed to that organization.

Information we collect

Account and profile information

We collect information used to create, secure, and identify your account, such as your name, email address, authentication provider, account identifier, profile image, company, team, role, and account status. Password credentials are processed by Firebase Authentication; Here Boss does not store passwords in readable form.

Workspace and organization information

We process company names, team membership, invitations, roles, and catalogs of clients, projects, and tasks. Workspace owners and administrators choose much of this information and manage access to it.

Time and timesheet information

We collect timer start and end times, durations, dates, time zones, selected clients, projects and tasks, notes you enter, timesheet periods, submission and approval status, review notes, and the identities of people who submit or review records.

Technical information

Our applications and service providers may process device and browser details, IP address, authentication tokens, timestamps, diagnostic information, and network requests needed to operate, secure, and troubleshoot the service. The apps may retain limited information on your device to support session continuity, timer recovery, and offline operation.

Communications

If you contact support or receive a workspace invitation, we process your email address, the message content, delivery status, and related information needed to respond or deliver the communication.

How we use information

We use information to:

• Create and authenticate accounts and maintain company workspaces.
• Run timers, save time entries, prepare timesheets, and provide reports.
• Apply team and role permissions and support approval workflows.
• Send invitations, password resets, account notices, and service communications.
• Synchronize information across supported devices and platforms.
• Protect the service, investigate misuse, and troubleshoot failures.
• Comply with law, enforce our agreements, and protect legal rights.

Here Boss does not sell personal information and does not use your time-entry or workspace information for third-party advertising.

How information is shared

Within your workspace

Your time and profile information may be visible to authorized owners, administrators, managers, and team members according to their role and the workspace's configuration. The organization controlling the workspace may export or otherwise use its business records.

Service providers

We use service providers to host the application, authenticate users, store and synchronize data, and deliver operational email. These providers process information on our behalf under their applicable terms and safeguards. Core infrastructure includes Google Firebase and cloud hosting and email-delivery providers.

Legal and business circumstances

We may disclose information when reasonably necessary to comply with law or legal process, protect users or the service, investigate fraud or security concerns, or support a merger, financing, acquisition, reorganization, or sale of assets. We do not disclose more information than reasonably necessary for those purposes.

Retention and account deletion

We retain information while your account or company workspace is active and as needed to provide the service. We may retain certain records longer when required for security, dispute resolution, legal compliance, or an organization's legitimate business-record obligations. When retention is required, we limit use of the retained information to the applicable purpose.

You may request deletion of your Here Boss account and associated personal information by emailing the address below. Use the subject line Here Boss Account Deletion Request and send the request from the email associated with your account so we can verify it.

For regular members, required company records will be preserved while the member's identity is anonymized. For company owners, a verified request with strong confirmation deletes the entire workspace and its associated records.

Security and international processing

We use administrative, technical, and organizational safeguards intended to protect information, including authenticated access, role-based permissions, encrypted network transport, and managed cloud infrastructure. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Information may be processed in the United States and other locations where our service providers operate. Those locations may have data protection laws different from those in your jurisdiction.

Your choices and rights

Depending on your location, you may have rights to access, correct, delete, restrict, or obtain a copy of personal information, or to object to certain processing. You may update available profile details in Here Boss or contact us to make a request. We may need to verify your identity and may direct requests concerning organization-controlled records to the relevant organization.

You can control certain device permissions through your operating system. Disabling permissions or connectivity may affect application features. You may also stop using Here Boss and uninstall its apps.

Children's privacy

Here Boss is a workplace service and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided information to Here Boss, contact us so we can investigate and take appropriate action.

Changes to this policy

We may update this policy as Here Boss or applicable requirements change. We will post the updated policy here and revise the effective date. When an update is material, we may also provide notice through the service or by email.
